Virtual document folders (Basic features)

Virtual document folders are the central storage element in Realify PaperOffice™ DMS and are best compared with a transparent envelope or hanging folder and act as information collection container.

You can save in a virtual document folder everything what belongs together (Binder) and then categorize, link to contacts, put keywords, put for resubmission, provide with user rights.

Virtual document folders are stored in your archive, the archive is stored in turn in the Realify PaperOffice™ DMS database.

Categorize (Subfunction 1 from 11)

You can assign to the document folder one or unlimited number of categories at the same time. The document folder exists only once, but can appear multiple times as depending on the selected category. Categories are administered in category management.

Colour identification (Subfunction 2 from 11)

To each document folder can be assigned a specific color and identificate by this way in color. The document folder name will be listed with this color in document folder list.

Document folder name (Subfunction 3 from 11)

Document folder name can be freely selected. Furthermore the intelligent system recognize similar, already created document folders and provides appropriate name suggestions.

Original storage location (Subfunction 4 from 11)

Here can be stored where the original document was filed. Original storage locations can be administered in the original storage location management. You will find the matching original document quickly or be eg pointed out to destroy the original while deleting the document folder.

Document folder type (Subfunction 5 from 11)

To each document folder can be assigned a primary and secondary document folder type. According to these document folder types can be filtered in the display manager to, for example, show only invoices. Document folder types can be created and administrated freely.

Document folder date (Subfunction 6 from 11)

Select document folder date directly in the document folder. The display manager can be narrowed down to those dates in order, for example, to show only document folders, which last may have been created.

Reference number (Subfunction 7 from 11)

You can add the document folder date directly to search for it later, for example, with advanced search function.

Sums and Tax (Subfunction 8 from 11)

To the document folder could be deposited net and gross amounts and the respective tax rate. This allows you to calculate the amount of selected folders in the document folder list.

Document folder note (Subfunction 9 from 11)

To any document folder can be stored notes, hints or work instructions. These are automatically displayed as a virtual PostIt, once the document folder is displayed.

Document folder status (Subfunction 11 from 11)

Each document folder can be provided with status states. These statuses are listed visible in the document folder list, which greatly simplifies the internal workflow.
